This policy explains how Rentisha collects, uses and protects your personal data, in line with the Kenya Data Protection Act, 2019.
1. Who handles your data
The Rentisha app is operated by Kigs Apex Solutions. For tenancy data, your landlord or managing agent is the data controller; Rentisha processes that data on their behalf. We act as a data controller for the account and security data needed to run the app itself.
2. What we collect
We collect:
- Identity and contact details — name, phone number, email.
- Identification documents — where you choose to upload an ID or passport image. These are encrypted at rest.
- Tenancy and payment records — your unit, invoices, M-Pesa payments and receipts.
- Maintenance requests — issues you report and their progress.
- Technical data — device and log information needed to keep the service secure.
3. Why we use it, and our lawful basis
We use your data to operate your tenant account, process rent payments, generate statements and receipts, handle maintenance requests and keep the service secure. Our lawful bases under the Data Protection Act, 2019 are the performance of your tenancy arrangements, your consent, our legal obligations (including tax invoicing), and our legitimate interest in running a secure service.
4. Who we share it with
We share data only as needed to provide the service:
- Your landlord or managing agent, who manages your tenancy.
- Safaricom, to process M-Pesa payments.
- The Kenya Revenue Authority, where a tax invoice (eTIMS) must be issued for a payment.
- Infrastructure and service providers who help us run the app, under confidentiality obligations.
We do not sell your personal data.
5. Storage and security
Your data is stored on secured infrastructure. Sensitive fields, such as identification numbers and documents, are encrypted. Access is restricted and audit-logged, and each organisation's data is isolated from every other.
6. Your rights
Under the Data Protection Act, 2019 you have the right to access your data, to have it corrected, to request erasure, to object to or restrict processing, and to data portability. To exercise these rights, contact your property manager or Rentisha. We aim to acknowledge requests within 72 hours.
Some records — such as payment and tax-invoice data — are kept for the period the law requires even after a request for erasure; in those cases the data is redacted rather than deleted.
7. Retention
We keep your data for as long as your account is active and for any further period required to meet legal, tax and accounting obligations, after which it is deleted or anonymised.
